Phone Process Communication Tips:
 
As a person on the call, please follow these process guidelines to help keep the communication efficient and clear:
 1.  When you enter the call say your name.  And then every time you re-enter the conversation say your name again before your comment.  This keeps the conversation moving as no-one has to try and figure out who said what.
2.   When you have finished your comment, say “I am finished,” or, “that’s all,” or any phrase that lets all the callers know that you have completed your comment.  With this rule in place, no-one has to try to guess when someone has finished speaking and so it prevents unnecessary interruptions, as well as pauses from being misconstrued.
 3.  To indicate agreement with a question, remain silent.  Only if you disagree with a suggestion do you need to comment.  For example, if someone says, “I suggest we have a follow up call, what do you all think”?, and everyone remains silent then you know you have total agreement.  On the other hand, those who disagree would respond and say why they don’t agree.  This lets the group know right away where everyone stands and what issues there are that need to be addressed.  This simplifies the group decision making process when there are no verbal cues.
 4.  Avoid cross-talk by making your comments to the whole group rather to just one individual.
